Clients and projects live in one record
Every client in Pistacio is a record that holds what belongs together: contact details, the projects running for them, and the documents you share. Projects sit under their client, larger engagements get one level of sub-projects, and each project carries its own task board with owners, due dates and milestones — viewable as kanban or table. Because everything hangs off the same client record, you never reconcile a customer spreadsheet against a separate project list again.

Budgets and hourly rates per project
Each project gets its own commercial frame: a budget in hours or as a total amount, and the hourly rates that apply to it. You can run a project on time and material or against a fixed price — the budget works the same way either way. Rates are stored per project, so the same person can bill different rates for different clients without anyone keeping numbers in their head. Every tracked hour immediately knows what it is worth and which budget it counts against.

Budget burn visible while the work runs
Once a budget is set, Pistacio measures every tracked hour against it as it happens. The monthly review shows budget burn, utilization and margins per project and per client, so you see which engagements are on track and which are quietly eating their budget. That changes client conversations: you renegotiate scope or raise a budget tranche while the project is still running, instead of discovering the overrun after the final invoice has gone out. The numbers come from tracked time, not a controlling file nobody maintains.

Team assignment and capacity in view
Projects in Pistacio are more than labels on time entries — you assign the people who work on them. Roles decide who sees what: managers oversee budgets, approve timesheets and track utilization, while team members track time and manage their tasks. The team calendar adds the absence layer, with vacation and German public holidays visible next to the work. Utilization reports then show how capacity was actually used, per person and per project, so staffing decisions rest on data instead of gut feeling.

Everything feeds invoicing and reports
Because hours, rates and expenses already live on the project, nothing has to be re-typed downstream. When it is time to bill, the tracked time and receipts of a project become a §14 UStG-compliant invoice — ZUGFeRD or XRechnung included — and the DATEV export hands the numbers to your tax advisor. The same data feeds the reports: revenue, budget burn and margin per client and per project. One source of truth from first estimate to final invoice, with no parallel spreadsheets.
